Workflows assign ownership and make the status of each product visible. Technical specialists can approve specifications, local teams can review translations, and completeness rules can block publication until required fields are ready.
- Example: After approval, the PIM sends a detailed record to the brand website, a shorter title and mapped category to a marketplace, and the required product sheet to a distributor portal. Publication timing depends on the integration and the receiving channel’s rules.
This workflow reduces repeated data entry while keeping ownership and approval visible. It also gives each destination the information it needs without creating an independent master record for every channel.
How to Choose PIM Software
Start with the data and operating model, not a generic feature checklist. A PIM platform can look flexible in a demo and still be a poor fit if the team has not agreed on ownership, taxonomy, integrations, and publication rules.
Product Model and Integration Architecture
Check whether the platform can represent your categories, variants, bundles, accessories, and market-specific attributes. Then list every system that will supply or consume data and define the system of record for each field.
- Catalog Fit and Scale: Test realistic volumes for products, attributes, relationships, assets, locales, and outbound channels. Catalog complexity matters more than a headline SKU limit.
- Integration Design: Confirm how the PIM will connect with ERP, PLM, DAM, supplier sources, e-commerce platforms, and marketplaces, including error handling, retries, monitoring, and sync schedules.
Workflow, Localization, and Daily Use
The people responsible for product information should test routine work with real records. Review how the platform handles incomplete products, bulk changes, approvals, permissions, audit history, languages, units, and market restrictions.
- Daily Work: Ask users to find an incomplete item, edit a variant, review a change, and publish an update. Workflows that look sensible on paper may still be slow in regular use.
- Governance and Localization: Verify configurable fields, quality rules, roles, approvals, translations, locale inheritance, channel schemas, and reporting before committing to the data model.
Implementation and support also matter. Compare migration, configuration, testing, training, release management, and post-launch maintenance. The software license is only one part of a PIM program.
What Does PIM Implementation Involve?
A PIM implementation is a data and process project as much as a software project. It usually includes auditing the catalog and systems, defining taxonomy and ownership, cleaning and mapping data, configuring workflows, building integrations, testing channel outputs, training users, and monitoring the platform after launch.
Trying to migrate every historical field often adds cost without adding value. A better starting point is to identify which information is still useful, who owns it, what quality rules apply, and where the approved value must be published. A focused first release is usually easier to govern than an all-at-once migration.
